Your trust matters to us - here's how we protect your information

Our Commitment to Your Privacy

Look, we get it - privacy policies can be drier than week-old bread. But here at Pyrestorm Citadel, we're not about that corporate speak. This fortress has stood since 1847, and we've built our reputation on trust and transparency. So let's talk straight about how we handle your info when you stay with us or browse our site.

We're a Canadian company operating out of beautiful Whistler, BC, which means we follow Canadian privacy laws (PIPEDA, for those keeping track). But more importantly, we follow common sense and treat your data the way we'd want ours treated.

What Information We Collect

When you book a room, sign up for our newsletter, or just poke around our website, here's what we might collect:

  • Booking Details: Your name, email, phone number, payment info - basically what we need to get you checked in and settled
  • Preferences: Room choices, dietary restrictions, whether you're terrified of heights (important for tower suite bookings!)
  • Website Activity: IP address, browser type, which pages you visited - standard web stuff
  • Communication Records: Emails, phone calls, that time you asked if we really have ghosts (we don't... probably)
  • Special Occasion Info: Anniversaries, birthdays - so we can make your stay extra memorable

We won't collect anything sneaky. If we need info from you, we'll ask upfront. No hidden tracking or weird surveillance stuff - this is a historic fortress, not Fort Knox.

How We Use Your Information

We're not gonna sell your data or spam you with garbage. Here's what we actually do with it:

Essential Stuff

Processing your reservations, managing your stay, handling payments, and making sure you get the room you booked

Communication

Sending booking confirmations, updates about your stay, responding to your questions (even the ones about ghosts)

Improvement

Understanding what works and what doesn't, fixing issues, making the website better, upgrading our services

Legal Requirements

Keeping records for tax purposes, complying with Canadian hospitality regulations, protecting against fraud

Marketing Note: We might send you occasional emails about special offers or events, but only if you've said it's cool. You can unsubscribe anytime - no hard feelings.

Who We Share Information With

We're pretty protective of your info, but there are a few trusted partners we work with:

  • Payment Processors: Secure payment gateways that handle credit card transactions - they're PCI compliant and all that jazz
  • Service Providers: Email services, booking platforms, website hosting - the folks who keep things running smoothly
  • Tour Operators: When you book guided expeditions or heritage tours through us, we share relevant details with our vetted partners
  • Emergency Services: If there's a medical emergency or safety issue, we'll share what's necessary with first responders
  • Legal Authorities: Only when legally required - court orders, warrants, that sort of thing

What we DON'T do: We don't sell your data to third parties, rent out our email list, or share your info with random marketers. That's not how we roll.

Cookies and Tracking

Yeah, we use cookies - but not the delicious kind from our bakery. These are little files that help our website work better:

Cookie Type What They Do Can You Disable?
Essential Keep you logged in, remember your booking progress, basic site functionality Nope - needed for the site to work
Analytics Help us understand which pages are popular, where folks get stuck, how to improve Yes - adjust in browser settings
Preference Remember your language choice, display settings, that kind of thing Yes - but you'll lose customization

Most browsers let you control cookies through their settings. Just know that disabling some might make the site less functional. Your call though!

Your Rights and Choices

It's your data, and you've got rights. Here's what you can do:

Access

Request a copy of what info we have on you

Correction

Fix any info that's wrong or outdated

Deletion

Ask us to delete your data (with some exceptions)

Portability

Get your data in a format you can use elsewhere

Opt-Out

Unsubscribe from marketing emails anytime

Object

Raise concerns about how we process your data

To exercise any of these rights, just shoot us an email at reservations@pyrestormcitadel.info or call (604) 555-7823. We'll get back to you within 30 days, usually way faster.

Data Security

We take security seriously - probably comes from living in a fortress. Here's how we protect your stuff:

  • Encryption: All payment data and sensitive info gets encrypted both in transit and at rest
  • Secure Servers: Our data lives on protected servers with firewalls, regular security updates, and monitoring
  • Limited Access: Only authorized staff who actually need access to do their jobs can see your personal info
  • Regular Audits: We review our security practices regularly and update them as threats evolve
  • Staff Training: Everyone on our team gets privacy and security training

Real talk: No system is 100% hack-proof. We do everything reasonable to protect your data, but can't guarantee absolute security. Use strong passwords and be cautious with what you share online.

How Long We Keep Your Data

We don't hoard data forever. Here's our retention approach:

  • Booking Records: 7 years (Canadian tax law requirement)
  • Marketing Preferences: Until you unsubscribe or we haven't heard from you in 3 years
  • Website Analytics: 26 months, then it gets anonymized
  • Customer Service Records: 3 years after your last interaction
  • Payment Information: We don't actually store full card details - our payment processor does that securely

After these periods, we either delete your data or anonymize it so it can't be traced back to you. If you want us to delete something sooner, just ask - we'll do it unless there's a legal reason we can't.
